Position Overview: The Conference Sponsorships and Exhibits Manager will be responsible for cultivating relationships with sponsors and exhibitors, securing funding and resources for our conferences and events, managing all aspects of sponsorship and exhibit logistics, and overseeing post-conference follow-up and evaluation.

Work Schedule: Typical schedule is Monday through Friday, 8 AM to 5 PM. However, the employee may be required to work on weekends when there is a conference or another event taking place during the weekend.

Travel Required: This position may require travel to our project sites and conference locations, including overnight staysTravels will include weekends and may involve driving as well as air.

Physical: Ability to lift and carry up to 50 pounds

Compensation: $90,000 to $110,000 DOE

On-site Role: This is an on-site position based in Bellevue, WA. No remote option available.

Key Responsibilities: 

Sponsorship and Exhibitor Acquisition:

  • Identify, research, and cultivate relationships with potential sponsors and exhibitors.
  • Ensure inquiries and questions are answered in a timely manner.
  • Cross-sell aligned events & programs to sponsors and exhibitors.
  • Serve as Relationship Manager to the conference sponsors, maintaining regular contact regarding upcoming events/programs and identifying potential sponsors’ needs for marketing and visibility.
  • Develop compelling sponsorship packages to attract sponsors and exhibitors.
  • Create and maintain a database of prospective sponsors and exhibitors.

Sponsorship and Exhibitor Management:

  • Serve as the primary point of contact for sponsors and exhibitors.
  • Coordinate logistics for sponsorships and exhibits, including booth assignments, signage, and promotional materials.
  • Ensure that sponsors and exhibitors receive all agreed-upon benefits and support throughout the conference or event.
  • Ensure compliance with all contractual obligations and deliverables.

Relationship Building:

  • Foster positive and long-lasting relationships with sponsors, exhibitors, and key stakeholders.
  • Act as a liaison between sponsors/exhibitors and internal teams to address any concerns or issues.
  • Ensure post-conference follow-up and thank you emails are sent in time.

Marketing and Promotion:

  • Collaborate with the marketing team to develop promotional materials and strategies to showcase to sponsors and exhibitors.
  • Utilize various channels, including email campaigns, and website, to maximize visibility of programs and conferences to sponsors and exhibitors.

Post-Conference Follow-Up:

  • Conduct post-conference evaluations to assess the effectiveness of sponsorships and exhibits.
  • Gather feedback from sponsors and exhibitors for continuous improvement.
  • Provide comprehensive post-conference sponsorship reports to internal stakeholders.

Qualifications:

  • Bachelor’s degree in business administration, marketing, communications, or a related field. Master’s degree preferred.
  • Minimum of six-years of leadership experience in sales, sponsorships, exhibits, or corporate partnerships, preferably in the non-profit sector or healthcare industry.
  • Proven track record of successfully securing sponsorships and exhibits for conferences or events.
  • Strong negotiation, communication, and interpersonal skills.
  • Excellent organizational and project management abilities, with keen attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and experience with CRM software (e.g., Salesforce) is desirable.
